Zapier, Make, and n8n can connect business tools and automate repeated work. The right choice depends on the exact integrations, branching logic, hosting requirements, and maintenance responsibilities.
I treat the platform as an implementation choice. Your team should understand what the automation does, what it costs to run, and how to recover when a connected service changes.
What to evaluate
Zapier
Check whether its connectors support the particular triggers and actions you need. A familiar app name in a directory does not guarantee support for every field or operation. Prototype the important handoffs before choosing a plan.
Make
For workflows with several routes and data transformations, test whether its visual scenario structure makes the logic easier for your maintainer to follow. Include error handling and realistic payloads in that test.
n8n
Compare its hosted and self-hosted options. Self-hosting puts infrastructure responsibilities on you: updates, access control, backups, monitoring, and recovery. External APIs and model calls can still send data outside your server. See n8n’s hosting options and self-hosting guidance.
Compare the total cost
Estimate normal traffic, peak traffic, retries, paid app subscriptions, AI usage, and maintenance. Platforms meter work differently, so a simple task-count comparison can be misleading.
Check the current Zapier plans, Make plans, and n8n plans. Avoid choosing from an old price table or a claimed universal break-even point.
Keep the setup maintainable
Start with one representative workflow. Confirm ownership, documentation, alerts, and who will make future changes. Adding another platform should solve a concrete problem worth the extra maintenance.
